Schedule Details Overview
This form allows you to add a new student schedule, make edits, re-enroll a student, and backdate a schedule. You can also view the student's schedule by week or month and access their schedule history. This form has three sections to it:
Schedule Details Tab
In this section, users can access all the tools and features needed to manage a student's schedule.
A: The Enrollment Period and Class are required for the system to display all available sessions.
B: Clicking the "Show" button will display the available sessions on the left side.
C: The sessions you select will appear on the Enrolled Sessions side.
D: The Effective Date represents the date that the student plans to begin their first day of class. The Back Stop Date is used for handling dates in the past.
E: Hovering over an enrolled session will display the assigned instructor for that session.
F: When creating a new schedule or editing an existing one, you must provide a reason. Selecting the 'Re-Enroll' box tells Northstar to charge for a new enrollment attempt with new tuition and fees. Once a student has been enrolled into a course, then changes to the original enrollment dates aren't allowed. When scheduling a student with a start date in the past, selecting the 'Generate Current Schedule' will copy over that schedule to future dates.
Enrollment Period field labels:
- Catalog Year
- Program Name
- Number of Training Hours
- Credit Value
- Enrollment Objective
- Start date of the enrollment period
- Stop date of the enrollment period (will show if the end date has been manually entered)
Class field labels:
- Course Number
- Class Name (Program or Course number)
- Credit Value
- Number of Hours in the Course x Multiplier (The multiplier is how much additional time should the student be scheduled. For example: if the multiplier is x2, that means that the student is given double the time needed to finish the course.)
- Course Prerequisites
Class Color Codes
When selecting a class, each one is displayed in a different color. Here is what the colors represent:
Black: class that is not yet scheduled into, but eligible for. Eligible meaning, there are no prerequisites preventing the student to enroll.
Pink: hasn't enrolled into it, and there is a prerequisite that has not been completed.
Yellow: enrolled but not completed.
Green: class has been completed/signed off.
Blue: currently enrolled.
Purple: indicates self-scheduling. The student has a pending self-schedule record, meaning the instructor has approved the student to advance to the next course, and the student will self-enroll through the portal.
Student Calendar
Once the student has been scheduled into a course. Clicking on the Student Calendar will show the weekly or monthly view of the student's schedule. The "Simplify Time" feature applies to hourly sessions. When enabled, it combines consecutive sessions into a single block, displaying only the start and end times instead of listing each individual hourly segment.
Schedule Detail History
This sections shows a list of all of the sessions the student has been enrolled in. Selecting the "Removed" box will show the sessions that have been removed from the student schedule.
